KUCCPS To Open Inter-Institutional Transfer Process, Date And Application Process

The Kenya Universities and Colleges Central Placement Service (KUCCPS) has announced that it will soon open its inter-institutional transfer portal, allowing 2024 Kenya Certificate of Secondary Education (KCSE) candidates to apply for changes to their earlier selections of university or college courses and institutions.

This development will come as a relief to students who may have reconsidered their choices following the release of the 2025 placement results. The transfer window is scheduled to officially open on Monday, July 14, and will remain active for ten days, closing on Wednesday, July 24.

The inter-institutional transfer opportunity is exclusively available to applicants who were successfully placed in universities and colleges through the 2025 placement cycle. However, only students who meet the cut-off points and minimum subject requirements for their desired courses will be eligible to apply for transfers.

In a circular dated July 11 addressed to Vice-Chancellors of universities and Directors of TVET institutions, KUCCPS Chief Executive Officer Dr. Agnes Wahome urged institutional heads to offer timely support to students during the application period.

She emphasized the need for strict compliance with KUCCPS regulations governing programme cut-off points and subject requirements, particularly in cases of inter-faculty and inter-programme transfers within the same institution.

Step-by-Step Guide to the Inter-Institutional Transfer Process

The inter-institutional transfer process is carried out entirely online via the official KUCCPS student portal. KUCCPS has outlined a structured procedure to ensure a smooth and efficient process for both students and institutions:

  1. Initiation of Transfer Application

The process begins with the student logging into the KUCCPS student portal and selecting the inter-institutional transfer option. The applicant must choose a new course and institution that match their qualifications. The system automatically validates the student’s eligibility by checking if they meet the required cut-off points.

  1. Endorsement by Receiving Institution

Once the application is submitted, it is forwarded to the receiving institution. The institution reviews the application through its KUCCPS institutional portal and, if satisfied, endorses and accepts the student.

  1. Release by Current Institution

After the receiving institution accepts the transfer, the request is sent to the releasing institution. This institution is responsible for officially releasing the student through the KUCCPS portal.

  1. Final Approval by KUCCPS

After both the receiving and releasing institutions complete their roles, the application is submitted back to KUCCPS for final approval. If all requirements are met, KUCCPS generates a transfer letter confirming the student’s change of placement.

  1. Issuance of Admission Letter

The student downloads the transfer letter from the portal and submits it to the new institution. The institution then issues an official admission letter and joining instructions, confirming the student’s enrollment.

  1. Transfer Reporting

Both the releasing and receiving institutions will receive an official transfer report through their respective KUCCPS portals. These records are essential for institutional planning and enrollment management.

In her communication to institutional heads, Dr. Wahome stressed the need for full cooperation during the ten-day transfer window. She pointed out that many students make transfer requests due to personal preferences, career considerations, or changes in circumstances after receiving their placement results.

“The purpose of this letter, therefore, is to inform you of the timelines and to request that you accord the applicants timely support during this period,” said Dr. Wahome.

“During the processing of inter-faculty and programme transfers in degree programmes, institutions are required to strictly adhere to individual programme cut-off points and minimum subject requirements as published by KUCCPS.”

Inter-institutional transfers are a critical part of the KUCCPS placement framework, as they give students a chance to realign their academic paths with their career aspirations. Often, students apply for transfers due to new interests, proximity to home, or financial considerations. KUCCPS’s decision to offer this transfer window reflects its commitment to flexibility and student-centered placement policies.

Students and guardians are advised to begin preparing early for the process by logging into the KUCCPS Student Portal, reviewing their current placement, and exploring eligible options based on the published cut-off points and subject requirements.

As the deadline approaches, KUCCPS continues to emphasize that no applications will be accepted after July 24, and all students must follow the outlined procedures strictly to avoid delays or rejections.
